Policy
Last updated · 21 August 2026
The short version
- We collect what a booking needs: your name, email, phone, and the details of the game you booked.
- We never see your full card number, payments go straight to Stripe.
- We don't sell your information, and we don't share it for anyone else's advertising.
- Analytics only run if you say yes on the cookie banner. You can change that any time.
- Want your information sent to you or deleted? Email contact@kingpinsbowl.ca.
The full policy below is what actually governs, this box is a summary, not a substitute.
01Who we are
King Pins Bowl ("King Pins", "we", "us") operates the bowling, pool, snooker and bar venue at P200 – 1312 Lonsdale Avenue, North Vancouver, British Columbia, and the website at kingpinsbowl.ca.
This policy explains what personal information we handle, why, and what you can ask us to do about it. It applies to our website, our online booking and payment flow, the emails we send about a booking, and the information we take at the front desk or over the phone.
We handle personal information under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).
02What we collect
We collect only what a booking, an enquiry, or the running of the venue actually requires.
| When you… | We collect |
|---|---|
| Book online | Your name, email address and phone number; the date, time, activity, lane or table, party size, any food or add-ons chosen, and any promo code or voucher applied. |
| Pay online | The amount, currency, and the result of the payment. Card details are entered directly into our payment processor's own secure form, we never receive or store your full card number. We may see the card brand and last four digits on a receipt. |
| Change or cancel a booking | The change you asked for, and the record of when it was made. |
| Send an event enquiry | Your name, contact details, and whatever you tell us about the event. |
| Join the mailing list | Your email address, and the date and source of your sign-up. |
| Redeem a voucher or deal | The voucher code and its redemption status. If you bought it from a third party such as Groupon, that company holds its own record of your purchase under its own privacy policy. |
| Simply visit the site | Technical information sent by your browser. IP address, device and browser type, referring page, and the pages you viewed. If you accept analytics cookies, this also includes a recording of how you moved through the page (see section 5). |
| Contact us | Whatever you put in the email, message or phone call, and our reply. |
We do not ask for, and do not want, sensitive information such as health details, government ID numbers, or financial account numbers. Please don't put them in a booking note or an enquiry.
03Why we collect it
- To hold and honour your booking, assign a lane or table, staff the floor, and have your name at the host stand when you arrive.
- To reach you about that booking, the confirmation, a reminder, a change or cancellation notice, or a call if something at the venue goes wrong on the day.
- To take payment, issue receipts, apply discounts and vouchers, and process refunds where they apply.
- To answer enquiries about private events, parties and corporate bookings.
- To prevent fraud and abuse, for example, catching a voucher being redeemed twice.
- To improve the site and the venue, understanding which parts of the booking flow confuse people, and fixing them.
- To send you marketing, but only if you asked us to (section 11).
- To meet our legal obligations, tax and accounting records, and liquor and safety requirements.
We do not use your information for automated decision-making that produces legal or similarly significant effects about you.
04Consent, and taking it back
When you fill in a booking form and submit it, you are consenting to us using those details to deliver the booking. Where consent needs to be express, marketing email, analytics cookies, we ask for it separately and you can decline without losing anything else.
You can withdraw consent at any time by emailing contact@kingpinsbowl.ca or by clicking unsubscribe in any marketing email. Withdrawing consent is not retroactive, and we may still need to keep certain records, a paid booking, for instance, to meet tax and accounting obligations. If withdrawing consent means we can no longer deliver a booking you've made, we'll tell you before anything changes.
05Cookies and site measurement
Cookies are small files a website stores in your browser. We use two kinds, and they are not treated the same.
Strictly necessary, always on
These make the site function: keeping your place in the booking flow, holding a lane while you complete payment, keeping staff signed in to the back office, and passing security checks with our payment processor. The site cannot work without them, so they are not optional. They do not track you across other websites.
Analytics, only if you say yes
We use Microsoft Clarity to see how the site is actually used: which buttons get tapped, where people scroll, and where a booking gets abandoned. Clarity records a playback of your session on our site and builds anonymised heatmaps. It sets first-party cookies (_clck, _clsk) and sends the data to Microsoft.
None of that runs until you choose Accept on our cookie banner. Choose Essential only and no analytics tag is loaded at all.
You have not made a choice in this browser yet, so analytics are off.
Your choice is stored in your browser, so it applies to that browser on that device. Clearing your browser data resets it and we will ask again. Microsoft describes its own handling of Clarity data in its privacy statement, and you can also send a Do Not Track signal from your browser, which Clarity honours.
We do not run advertising cookies, and we do not share site data with advertising networks.
06Who we share it with
We do not sell your personal information, and we never have. We share it only with service providers who need it to do a job for us, and only the part of it they need:
- Google (Firebase / Google Cloud), hosts the website, stores bookings, and signs in our staff.
- Stripe, processes online card payments. Your card details go directly to Stripe.
- Our email provider, delivers booking confirmations, reminders, change notices and mailing-list email.
- Microsoft (Clarity), website analytics, and only with your consent (section 5).
- Third-party deal platforms such as Groupon, only where you bought a voucher through them, so we can confirm and redeem it.
These providers are bound to use the information only for the service they provide to us. We may also disclose information where the law requires it, a court order, a regulator, a law-enforcement request we're legally obliged to answer, or where we need to establish or defend a legal claim, or protect the safety of guests and staff. If King Pins is ever sold or reorganised, booking records may transfer to the new owner as part of that business, and this policy will continue to apply to them.
07Where it is stored
Our website, database and payment processing run on infrastructure operated by the providers named above. Some of that infrastructure, and some of those companies, are located outside Canada, including in the United States.
That matters, and we'd rather say it plainly than bury it: while your information is in another country, it is subject to that country's laws, and courts, law-enforcement agencies and regulators there may be able to obtain access to it under their own legal processes. We choose providers who commit to appropriate contractual and technical protections, but we cannot exempt them from the law where they operate.
08How long we keep it
| Record | Kept for |
|---|---|
| Bookings and payment records | Six years from the end of the tax year they relate to, which is what Canadian tax law requires of business records. |
| Event and party enquiries | Up to 24 months, so we can pick up a conversation you started last season. |
| Mailing-list subscription | Until you unsubscribe. We then keep a minimal record of the unsubscribe so we don't email you again by mistake. |
| Clarity session recordings | 30 days, then permanently deleted by Microsoft. |
| Clarity heatmaps and aggregate metrics | 9 months, then permanently deleted by Microsoft. |
| Emails you send us | Up to 24 months, unless the exchange forms part of a booking or a claim. |
When a retention period ends, the information is deleted or anonymised.
09How we protect it
- The whole site is served over HTTPS, and the connection is encrypted end to end.
- Card data never touches our systems, it is entered into our payment processor's own hosted fields.
- The booking database enforces server-side rules: a guest can read their own booking, and only staff accounts can see the floor.
- Back-office access is limited to the staff who need it, each with their own account.
No system is perfectly secure, and we won't pretend otherwise. If a breach ever creates a real risk of significant harm to you, we will notify you and the appropriate privacy commissioner as the law requires.
10Your rights
You can ask us to:
- Show you the personal information we hold about you, and tell you how it has been used and who it has been given to.
- Correct anything that's wrong or out of date.
- Delete information we no longer have a legal or business reason to keep.
- Stop sending you marketing, or withdraw a consent you gave.
Email contact@kingpinsbowl.ca and we will respond within 30 days. We may need to verify who you are first, usually by confirming details of a booking you made, so that we don't hand your information to someone else. There is no charge for a reasonable request.
11Marketing email
We only send marketing email to people who asked for it, which is Canada's anti-spam law (CASL) working as intended. Every marketing email identifies King Pins, gives our mailing address, and carries a working unsubscribe link that we action promptly.
Emails about a booking you actually made, confirmations, reminders, change and cancellation notices, and a receipt, are not marketing. We send those because you booked, and unsubscribing from the mailing list does not switch them off.
12Cameras and photos on site
The venue is monitored by video surveillance for the safety of guests and staff and for the security of the premises. Footage is held for a limited period and reviewed only when there is a specific reason, an incident, a safety concern, or a lawful request.
We also take photographs and video at the venue for our website and social media. We aim to keep guests unidentifiable in crowd shots, and if you'd rather not appear, tell any staff member or email us and we'll leave you out of the frame, or remove an image you spot after the fact.
13Children
Kids are extremely welcome at King Pins. Our website, though, is not aimed at them: bookings must be made by someone 19 or older, and we don't knowingly collect personal information directly from a child. If a booking includes children, we only hold what the adult who booked told us, usually just how many are coming. If you believe a child has given us personal information directly, email us and we'll delete it.
14Other websites
Our site links out to a few places. Google Maps for directions, our Instagram and Facebook pages, and deal platforms such as Groupon. Once you follow one of those links you're on someone else's site, under their privacy policy, not this one.
15Changes to this policy
We'll update this policy when what we do changes. The "last updated" date at the top always reflects the current version. If a change materially affects how we use your information, we'll make it obvious, a notice on the site, an email, or by asking for your cookie choice again.
16Contact and complaints
